TU Dining’s Key Role in Campus Events at the University of Tulsa

In the first two weeks of the school year alone, TU Dining supported 168 events between August 12 and August 30

Over the summer, TU Dining at the University of Tulsa took bold steps to elevate the campus dining and event services experience. Historically focused on enhancing taste and customer service, the team significantly expanded their efforts this past year, transforming how they support campus life and events. Their dedication to innovation, attention to detail, and customer satisfaction led to substantial successes across multiple areas.

One of the most pivotal achievements came when TU Dining secured the official events contract for the University of Tulsa. This followed the rebranding of their catering services to "1894 Events & Catering" last semester, which led to notable success in event management. This momentum positioned the team to manage all campus events, and they immediately set to work. In the first two weeks of the school year alone, they supported 168 events between August 12 and August 30, proving their readiness to handle large-scale operations and deliver an enhanced experience.

As the fall semester began, TU Dining played a vital role in welcoming new students through Freshman Move-In. The team managed key logistics such as setting up check-in areas, tents, and booths, ensuring that incoming students and their families were greeted with ease. They provided custom street signage and event wayfinding, directing families to dormitories and enhancing the arrival experience with photo backdrops adorned with balloons. Additionally, the team took care of essential details such as delivering ice and water to various locations and even assisting with moving furniture for early arrivals. Their efforts made the process efficient, welcoming, and memorable.

In addition to assisting with Move-In Week, TU Dining took on a new responsibility for campus beautification. This included designing and installing decorative banners at the main column entrances, placing welcome banners at key locations, and managing street signage to guide students and their families throughout campus. A large 12-foot-wide, 6-foot-tall foam "Welcome" sign became a highlight, moved to different events across campus throughout the first week. The team's commitment to detail extended to applying decals to various buildings, contributing to the vibrant atmosphere as the semester kicked off.

During the first week of classes, TU Dining also supported the university's major events as part of Start TU week. From food service to event design, they provided guidance to ensure each gathering was well-executed. Notable events like "Aloha Night" and the "Freshman Glow Party" allowed the team to demonstrate their flexibility, but the "Golden Hurricane Games" was where their full potential truly shone. This event, fully planned by TU Dining, featured everything from soft seating arrangements to food service tents and game areas. The introduction of the "Build Your Own Picnic Basket" concept allowed students to fill custom baskets with grab-and-go food options and enjoy their meals on oversized blankets set up near the stage. The event fostered student connections through activities such as tug-of-war, corn hole, and a dunk tank, while music and comfortable seating encouraged a relaxed and social atmosphere. The success of this event, attended by over 600 people, underscored the team’s creativity and ability to create spaces that promote interaction.

Following the success of Start TU week, the team played a crucial role in the Welcome Rally held at the Reynolds Center. TU Dining organized the overhead signage for seating sections, provided clear check-in signage, and coordinated photo opportunities. The team worked with production companies to arrange lighting, stage setups, and decorations, while also creating custom menus at the concession windows. Their meticulous attention to detail ensured the event went smoothly and left a lasting impression on all attendees.

TU Dining also contributed to Sorority Rush, helping to coordinate tents, hydration stations, and food services for the Greek life activities on campus. Their support ensured that sorority members could engage with incoming freshmen, enhancing the sense of community during this important campus tradition. Their involvement in planning and execution ensured the events were both successful and memorable for students.

The first home football game of the year presented another opportunity for TU Dining’s 1894 Events and Catering division to shine. The team took the lead in crafting a memorable tailgating experience, introducing new features such as Bar 1894, a full-service bar offering signature cocktails like the Perfect Storm vodka. They also reimagined the food service setup, debuting a grab-and-go convenience store concept called Hurricane Market. Stocked with pre-packaged items like sandwiches, snacks, and beverages, the store provided a quick and easy alternative to traditional concession fare. The new layout allowed for quicker service, reducing congestion and wait times. This setup proved a hit, as nearly all items sold out. In addition to handling food and drinks, TU Dining managed all the signage for the tailgate area and the stadium, including large-format menus and directional signs. Their contributions extended to setting up shaded stations with site maps, managing giveaway tables, and handing out T-shirts to fans entering the stadium.

Overall, TU Dining’s involvement in the first home game went far beyond food service. They meticulously planned every aspect, from layouts and signage to service strategies that improved efficiency and enhanced the guest experience. Preparing thousands of grab-and-go breakfast options for the early kickoff, the team expanded their customer service touchpoints and ensured guests had everything they needed for a seamless and enjoyable experience.

The summer and early semester events were just the beginning for TU Dining’s new events team. Their role in managing logistics, vendor bookings, site layouts, fire safety, event design, and customer service marked a significant step forward in their growing presence on campus. Their marketing team played a vital role as well, designing versatile signage and decorations that could withstand outdoor conditions and be reused for future events, ensuring cost efficiency while maintaining a polished appearance. Collaboration with university departments and vendors was key to the success of these events, and TU Dining’s efforts have already resulted in securing additional flagship events for the university.

Through innovative solutions, strategic planning, and a commitment to creating memorable experiences, TU Dining is redefining what it means to be an integral part of campus life at the University of Tulsa. Their impact reaches far beyond the dining halls, contributing to the overall vibrancy and sense of community on campus. With each new event, TU Dining continues to raise the bar, ensuring that every gathering leaves a lasting impression.
