Clerk (OA), Fort Bragg Veterinary Treatment Facility position open.

The Fort Bragg Veterinary Treatment Facility is one of the busiest Department of Defense veterinary facilities, with one of the largest privately owned animal missions. Duties include answering phones and taking detailed messages, scheduling appointments, assisting clients and their pets, filing, and regular office duties. Client records are computer-based, so receptionist will be inputting data into the AVIMARK database daily.  

Responsible for making new client records, preparing records for appointments, and preparing for vaccination clinics.  Also responsible for over-the-counter medication sales, as well as some prescription medications as authorized by the veterinarian. Issues rabies tags and certificates, and assists clients with information and filling out forms for Permanent Change of Station, for militiary personnel and their families. Collects client's fees, makes change, and gives receipts and invoices. Opens and closes daily financial log.  Performs other related duties as required.

DUTIES:

Performs a variety of administrative and clerical functions including, but not limited to typing and computer work in the veterinary clinic. Opens and secures the clinic and pharmaceuticals daily. Incumbent schedules appointments and maintains veterinary clinic schedules. Screens phone calls for service requests and refers them to the appropriate person for action, personally handling routine calls including inquiries about availability of veterinary services. Assists in locating owners of stray animals and adoption of unclaimed stray animals. Processes and verifies cash flow transactions and deposits and balances daily/weekly/monthly reports. Sets up and maintains various office and clinic files, including publications and client/patient files. Maintains confidential medical records and reports. Receives and reviews incoming vaccination documents for completeness; distributes and coordinates related actions as required. Prepares and distributes client/patient correspondence and corresponds with civilian and military veterinary clinics regarding confidential client/patient information. 

Orders and receives veterinary supplies and pharmaceuticals. Maintains and processes daily/weekly/ monthly/annual inventories of veterinary supplies and pharmaceuticals. Processes purchasing documents. Completes bi-weekly payroll reports. Submits monthly appropriated fund reimbursement paperwork for military owned animals. Assists with preparation of the yearly clinical budget.

QUALIFICATIONS REQUIRED:

Work experience directly related to the duties required in the position and which demonstrates the knowledge, skills, and abilities essential to perform successfully the duties identified.

Highly Preferred Criteria: Possess knowlege of basic medical and/or veterinary terminology, and possess experience using veterinary practice management software (i.e. AVImark).

Best Qualified Criteria: Applicants with prior experience working as a Receptionist in a Veterinary Clinic or equivalent, and previous experience performing basic accounting tasks.
