Framingham Schools Hiring Assistant For Assistant Superintendent

The job is for an executive administrative assistant to serve as the 'confidential secretary' to the newly hired assistant superintendent.

The Framingham Public Schools is advertising for a full-time ”Executive Administrative Assistant” who will serve as the ”confidential secretary” to newly-hired Framingham Assistant Superintendent of Schools Frank Tiano.

Tiano starts next week, July 20.

The full-time assistant would assist Tiano in the “day-to-day operations, planning, organization and control of an efficient school system that provides the maximum benefits to the students, teachers, administrators and citizens of Framingham.”

The position is 12 months a year. No salary range was listed, but the job description states “salary as established by the Framingham School Committee.”

The executive administrative assistant would need the ”ability to interact with the public, the staff and the School Committee in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. ”

The individual must have the “ability to deal with challenging situations, problem solve, prioritize tasks, create and maintain a professional work environment, and be flexible enough to deal with daily challenges of the system.“

The person should have “familiarity with school operations and have initiative and ability to create an efficient organization system, coordinate and execute a variety of activities and/or projects.”

Below is the job description posted:

Qualifications:
1. Minimum of an Associate Degree from an accredited college or university.
2. Minimum of five years’ experience as an Administrative/Executive Assistant to Executive Level Professional.
3. Must be excellent Word, Excel and PowerPoint
4. Ability to establish and maintain organized office systems and procedures
5. Demonstrated interpersonal skills, ability to problem solve
6. Ability to communicate effectively verbally and in writing
7. Ability to serve the public in a diplomatic, friendly and efficient manner
8. Ability to maintain the confidentiality of information
9. Knowledge of due process procedures

Performance Responsibilities:
A. Office Administration:
1. Preparation and management of the calendar of the Assistant Superintendent, including scheduling of meetings, conferences with administrators, school personnel, parents, visitors and citizen and community organizations.
2. Preparation and distribution of agendas and material for Administrative Staff and Administrative Council meetings.
3. Direct and coordinate student transfers, private enrollments, school register library and verification of school record data for legal matters.
4. Respond to questions by the media and/or community.
5. Resolve parent concerns, if possible, or refer them to appropriate school department personnel for resolution.
6. Attend and provide confidential transcription of any hearings as may be required by the Assistant Superintendent.
7. Data collection and preparation of reports of various data to inform district decisions related to staffing
8. Provide relevant data to support annual budget preparation and contract negotiations
9. Provide additional support to the Superintendent’s Office when need
10. Works with other Administrative Assistants (Superintendent’s Office, Human Resources, Education Operations, Business Office) to provide support whenever needed
11. District and School Crisis planning liaison between the fire, state & local police departments
12. Duties as assigned

B. State and Local Reports:
1. Coordination and submission of the Individual School and District Reports required by the Department of Education.


C. Finance and Budget:
1. Preparation of the budget for the Office of the Assistant Superintendent.
2. Prepare charts, graphs, supportive material for budget presentations.

D. Other:
1. Perform any other duties as assigned by the Assistant Superintendent of Schools.
